What a statement PDF becomes
- A checked statement. We work out every balance again from the row before, and put the result in the Ledger column.
- The rows that need you. A
breakpoints to the place where a row is missing or misread. - A sheet to match. With the statement checked, you compare its rows with your books, not with the PDF.
How to reconcile a statement in Excel
- Download the statement from your bank as a PDF.
- Drop it in the box at the top of this page, and we show you its first page converted.
- Sign up to download it. You do not need a card: your free trial converts up to 5 pages, so you can check the result first. Then take a plan to convert the whole statement.
- Download Excel. Filter the Ledger column to
break, and compare each of those rows with the PDF. - Paste the rows from your books beside the statement's rows, or into the reconciliation template.
- Match each statement row with a row in your books, and list the ones left over.
- Make sure that the closing balance, less the rows not yet in your books, equals the balance in your books.
| Reconciliation | Amount |
|---|---|
| Statement closing balance | 4,216.20 |
| Paid in, not yet in the books | -2,400.00 |
| Paid out, not yet in the books | 600.00 |
| Balance in the books | 2,416.20 |
Sample figures, not a real statement.
The Ledger column says ok where a balance follows from the row before,
filled where a figure was blank or unreadable and we worked it out,
break where it does not add up, and unchecked where a figure is blank or unreadable and we could
not work it out.
At a break, open the PDF at that row. Look for a misread digit, which can
happen on scans, or an amount in the wrong column. If the PDF shows the same
numbers, the statement itself does not add up there, and that is a question for
your bank. Our guide to balances that do not add up
lists the usual causes.
Questions
Is the Ledger column the reconciliation?
No. It checks the statement against itself. You then reconcile that statement against your books, as you would with any statement.
Can I reconcile in Xero, QuickBooks or FreeAgent instead?
Yes, on the free trial or a Standard or Plus plan. Download the import file for a whole statement, upload it to the bank account there, and reconcile the rows in your software. Most whole statements come with that file. Lite gives Excel and CSV, not the import files.
How much does it cost?
Your free trial is 15 pages, with no card, and no statement uses more than 5 of them, so a statement of up to 5 pages converts whole. For longer statements, you need a plan: Lite, $29 USD per month for 500 pages, for Excel and CSV, or Standard, $59 USD per month for 1,250 pages, for the Xero, QuickBooks and FreeAgent files as well.
